The Office Co-ordinator is responsible for managing multiple, competing responsibilities in an aggressively growing environment. Specifically, the Office Co-ordinator role will encompass providing day-to-day support to Amazon Slovakia employees and partnering with managers to accomplish business objectives. This job requires someone who takes responsibility for projects or tasks and can bring them to successful completion in a timely and effective manner. Additionally, the Office Co-ordinator will be someone who can work autonomously, with little or no direction, and be willing to help with a variety of projects.

ESSENTIAL JOB DUTIES & RESPONSIBILITIES
Office Management

- Liaise with the site receptionist and facilities management
- Track inventory of office supplies in every area of the company. Ensure adequate supplies are available at all times. Also ensure organization is maintained in each departmental supply area.
- Run cost and comparative analyses to identify areas of improvement; provide reasoning and support for cost allocations made.
- Purchase any incidental items needed for office and/or employees not covered by a vendor contract.

Administration/Misc

- Plan and facilitate all office events and parties including annual holiday party, picnics, and special events, manage to budget, resources and any special needs.
- Smooth administrative support and assistance to our Senior Management in daily business i.e. maintain calendar, handle post and calls, set-up conference calls, support in routine reporting and analysis preparation, handle internal meeting requests and prepare Agenda for meetings
- Handle travel bookings from A-Z including organization of visits
- Coordinate lunches and other external resources for team events, interviews, all hands, tech talks, etc. Be the go-to resource for the leader of the function to coordinate where to order, etc.
- Coordinate and communicate agreed updates and information.
- Maintain ongoing activities to ensure adherence to associate expectations
- Manage Action trackers and support follow ups
- Facilitate key meetings including distribution of agenda, capturing minutes and actions

Secondary with school-leaving examination
Follow-up/Higher Professional Education
University education (Bachelor's degree)
University education (Master's degree)
Postgraduate (Doctorate)

Language skills

English - Upper intermediate (B2)

Personality requirements and skills

- Previous experience of being an assistant and / or Office Co-ordinator
- Previous experience of supporting / organising events
- Previous experience of producing written communications in a corporate environment
- The ideal candidate is a multi-tasker, manages large volumes of different tasks, works very detail-oriented and has the desire and aptitude to grow with Amazon and the job
- Detailed planning and organizational skills
- Very good knowledge of Microsoft Office (strong Excel skills) and Outlook tools
- Exceptional written and oral communication skills (English)
- A high level of integrity and discretion in handling confidential information
