Job description, responsibilities and duties

We are now looking for a dynamic and positive Company’s assistant to support our teams by delivering proactive, effective company secretarial support and tasks. You will have a pivotal role by working closely with all the departments, respecting confidentiality at all times. Your punctuality and reliability is key to this role as a busy office will rely on you to ensure administrative tasks are completed quickly.

This role will suit someone who is forward thinking, conscientious and has the ability to work well in changing environment.

Your key responsibilities will be:
• Managing and maintaining a smooth-running and well-presented office that’s
ideally suited for our needs;
• Looking after visitors and customers by being seated in our reception area;
• Managing and handling daily administrative tasks, including post distribution;
• Screening telephone calls, enquiries and requests, and handling them when
appropriate;
• Organising meeting room bookings as required;
• Ensuring the office is fully stocked with supplies;
• Developing our visibility and presence online, including basic website/intranet
maintenance;
• Helping with HR related matters

Personality requirements and skills

As the ideal candidate, you should have:
• Secondary Education;
• Fluent written/spoken English (B2 level);
• At least 2 years of experience in administrative work
• Excellent communication skills (written and verbal);
• Ability to multi-task and prioritize effectively in a fast-paced environment;
• Good IT Skills, advanced experience with office productivity tools such as
Microsoft Outlook, Office (Word, Excel, PowerPoint) and the internet, etc;
• Strong organizational and time-management skills, capacity to prioritise tasks,
adapt to changing workloads and work under pressure;
• Flexibility to work outside of normal business hours (if necessary) to accomplish
business objectives.
