WHAT WILL
YOU DO

The Seat planning administrator independently solves the management of project seats, is responsible for functionality and up to date seat management tool Center Stone, utilizations of seats, preparing seats reports, helping with complex internal relocations etc. She/he handles requests which arise relative to the furniture and fittings of the interior in connection with internal relocations, construction works.
The Facilities Coordinator handles independently all maintenance issues which arise relative to the exterior and interior of the building and furniture and fittings. S/he will undertake those repairs which can be handled internally and contact the relevant contractors or service providers for others. Together with the facilities team, monitors performance of office equipment (e.g., beamers’ functionality, air conditioning, audio-video systems, etc.).
He/she may supervise the work of a junior team of up to 6 team members and plans and prioritizes activities to ensure the delivery of services/goods.

  • Responsible for solving all facility related issues logged via system
  • Performing floor walks, monitor external and internal building structures, furniture and fittings on a regular basis attending to repairs in the appropriate manner
  • Performing basic maintenance tasks (solving basic maintenance issues as whiteboards installation, etc.)
  • Set up of meeting rooms and basic furniture moving, responsible for key management, furniture in the office and storage management
  • Preparing purchase orders in purchasing application (Ariba), controlling invoices, and solving problems in cooperation with finance department
  • Supervises, provides advice, guidance and support to office checks/maintenance clerks
  • Prepares the schedule, monitors attendance and verify Time Reports of office checks/maintenance clerks
  • Seats planning/seats utilization
  • Reporting, tracking/updating seats reports, providing information concerning capacity planning, office space diversification, sq footage of office space/meeting rooms and common space
  • Performs physical checks of the projects seats
  • Managing Internal relocations projects
  • Maintains seat management tool Center Stone
  • Providing support in case of office layout changes occur – e.g. communication with architect, Construction Company etc.
