WHAT WILL
YOU DO

• Provide support on simple RFI/RFP execution ( Quick Quote) as well as eAuctions to client and suppliers as described in the Main Accountabilities section
• Provide advanced support on Spend visibility modules and KPI reports
• Provide Procurement & eSourcing Tool support as described in the Main Accountabilities section
• Simple RFI/RFP execution in Ariba tool
• Provide access to client users and suppliers to the eSourcing tool (Ariba)
• Interact with client to get necessary information to create RFI/RFP on eSourcing tool
• Collect and understand client’s needs
• Manage event:
o Ensure suppliers connect to the eSourcing tool and provide support (email or call) if needed to suppliers
o Give participation status to buyers in regular basis
o Update event if necessary
o Create simple bid analysis to allow buyers to get a quick comparison
• Support client users on RFI/RFP administration
• Monitor and follow up RFI/RFP : Answer to buyer/suppliers questions on the tool, ensure bid completion

• eAuction execution in Ariba tool
• Provide supplier training
• Interact with client to get necessary information to create eAuction training environment
• Manage participants readiness and report on training participation
• Monitor live events and send final report
• Maintain documentation updated

• Spend Visibility refresh cycles
• Collect and load client invoice and spend data on a quarterly basis
• Inform client on any risk
• Update any mapping files related to the activity

• Contract Enablement & Management
• Contract uploads
• Receive contract request form and validate requirements
• Enter the contract meta-data in the contract system, and upload the scanned contract
• Create or amend corresponding details if applicable
• Create and issue Status Reports: contract expiration of contracts included in the Contract system, as per agreed reporting schedule

• Contract Amendments
• Receive contract amendment request form
• Enter the updated contract details validated by Client in contract system, and upload the amended contract scan if required by Client

• Store and Retrieve Contract Documents
• Run expired contract report and archive electronic contract records for expired contracts utilizing Ariba provided by Client, as per agreed reporting schedule
• Monitor contracts validity through reports

• Catalog Management for Indirect Materials
• Enablement for indirect material
• Review for integrity, test and then upload/enter into Client’s catalog management tool
• Validate content.
• Complete any normalization and cleansing as required based on agreed-upon data quality standards and format

• Catalog maintenance
• Update catalog contents per approved request and agreed scope
• Validate format content changes. Complete any normalization and cleansing as required. Catalog manager is responsible for validating format changes
• Escalate unresolved issues to Client
• Resolve escalated issues
• Load updated catalog into Client’s catalog system production environment

• eSourcing Tool User support
• Provide Training and assistance to buyers and suppliers for usage
• Manage master data:
• Ariba buyers data
• Ariba Vendors data management
• Ariba buyer Common data administration (Product categories, exchange rates, notifications…)

• Supplier Performance Management
• Create Projects & Surveys in Ariba based buyers requirements
• Manage respondents participation
• Close surveys & generate project reports in Ariba
• Summarize supplier & campaign performance results in PPT report as input for Suppliers QBRs based on client requirement

WHAT WE

Functional skills:
• Good interpersonal skills (needs to be able to build relationships over the phone without meeting suppliers / customers on a regular basis)
• Procurement and analytical background

Technical Skills
• PC (Windows, Word, Excel, PowerPoint)

Other Expectations
• Very good written and spoken English skills and any other european language
• Pro-active behavior and ease in communication with other people

Working Dimensions
