Physical Inventory Taking (PIT) Administrator

Job Description

Key Responsibilities:
• Follow strategic Global Fixed Asset Management Property Control System for Physical Inventory Taking (PIT). Facilitate, lead and conduct PIT’s in an efficient and complete manner.
• Ensure the PIT results are properly created & announced to respective country CFO’s
• Conduct and support all PIT’s ensuring coverage across the IBM Geo’s and Divisions, with strong urgency and close communications with country focal points and their appropriate teams with eye for asset control issues/risk
• Manage asset changes via submission of MLDB update requests, as needed, for respective PIT’s
• Maintain an effective controls program achieving satisfactory results on all
• Effectively coordinate and report PIT results, conduct investigations where determined needed
• Submit MLDB write-off request, as needed, ensuring proper approvals of WW Property Control Manager are obtained
• Follow up on all action plans of completed PIT’s to confirm all write-offs or associated actions are completed
• Prepare and record all necessary PIT documentation notes, work papers, digital photos, and spread sheets in the PIT team room
• Prepare Ad Hoc reports and support various audit and business control request
• Evaluate and implement process improvements
• Print and distribute asset Barcodes


Required Technical and Professional Expertise

• Accounting knowledge an advantage, especially the fixed assets accounting processes
• Possess knowledge in accounting systems & tools and related control requirements
• QMF/SQL skills, experience with FIW/FDW, experience with Lotus/Excel spreadsheet (macro, vlookup, pivot tables, etc.)
• Basic knowledge of SAP and eAMT
• In-depth knowledge and experience in executing business processes, management and measurement systems & drive to work in a service oriented, customer focused environment
• Solid analytical thinking and sound judgmental skills
• Strong organization skills and Pro-active approach to issue resolution
• Self motivated with ability to manage own workflow to meet deadlines
• Keen attention to detail
• Excellent communication (written, oral, and listening) & presentation skills
• Fluent English (written and spoken)
• Strong team player with passion for our business
• Experience in dealing with Executives (client and internally)
